Cancellation Policy

This Cancellation Policy applies to all accommodation (hotel/service apartment) and cab transport bookings made through Eventsstay.com for the event.

Eventsstay.com operates solely as a facilitation and booking coordination platform connecting attendees with third-party hotels and transport providers. Cancellation requests are governed by the event inventory blocking arrangements and provider commitments outlined below.

1. Cancellation Window

All hotel and cab bookings may be cancelled on or before 30th July (11:59 PM IST).

Cancellation requests received within this window will be eligible for partial refund as per the deductions outlined in this policy.

2. Cancellation Charges (Before 30th July)

For cancellations made on or before 30th July:

  • 5% of the total booking amount will be retained.
  • This deduction is applicable toward:
    • Payment gateway / portal charges
    • Transaction processing fees
    • Applicable taxes and administrative costs
  • The remaining balance amount will be processed as a refund in accordance with the Refund Policy timelines.

3. Cancellations After 30th July

All cancellations made after 30th July will attract a 100% cancellation penalty. This means:

  • No refund will be issued.
  • The entire booking amount will be forfeited.

This policy is enforced due to:

  • Blocked event inventory
  • Provider commitment guarantees
  • Peak-period demand constraints

4. Applicability

This cancellation structure applies uniformly to:

  • Hotel / Service Apartment bookings
  • Room packages of all categories
  • Cab transport bookings (pickup/drop/local travel)
  • Partial cancellations (e.g., reducing nights or removing transport) after the deadline will also be treated under the 100% penalty rule.

5. Mode of Cancellation Request

All cancellation requests must be submitted through official written communication via:

  • Registered email
  • Website contact channel

Requests must include:

  • Booking ID
  • Registered guest name
  • Service details

Cancellation requests via phone or WhatsApp without written confirmation will not be considered valid.

6. Processing of Approved Cancellations

Eligible cancellations (before 30th July) will be processed in accordance with the platform’s Refund Policy, subject to deduction of applicable charges.
